Hello everyone,
I've recently drafted a communications strategy for WMUK based on preliminary discussions on the UK wiki herehttp://uk.wikimedia.org/wiki/2012_Communications_Review .
I'd be really grateful for your thoughts and input on the strategy. You can find it herehttp://uk.wikimedia.org/wiki/File:WMUK_comms_strategy_v1.2.pdf. It's quite a lengthy document so if you'd prefer to see an abridged version which contains only the recommendations please take a look herehttp://uk.wikimedia.org/wiki/File:Comms_strategy_extract_-_recommendations.pdf .
If you could send over any comments, suggestions or questions to me by the end of Friday 6 July that would be great.
Thank you for your help,
Stevie

Good stuff. A few opinions:
* I'd like to see reference to environmental impact of print; and a requirement to balance outreach against this; with emphasis on the use of electronic communications wherever possible.
* There should be a clear process for requesting, agreeing and publishing press releases and other "broadcast" communications (leaflets, posters etc, as opposed to wiki pages or mailing list posts) *in a timely manner*. This should not involve board sign-off; their job is policy, not micro-management.
* The strategy should refer to post holders' titles, not individuals' names (just in case Stevie wins the lottery and decamps to the Bahamas!)
* Video/ audio content should be available in accessible format to deaf or blind people. Videos should be subtitled, and audio transcribed, wherever possible.
* Similarly, all print material should include an offer to provide large-print or audio copies, etc (or a URL for such).
* Photography (and event video) - due consideration should be given to individuals who do not wish to be shown (or "outed"); especially minors
ATB,
Andy - good points! Just to say that all of our paper is 100% recycled - except for colour paper, which has to be 100% FSC certified. This in line with the finance policy, which states
"We shall endeavour to source local, environmentally friendly and sustainable suppliers where this is possible and does not conflict with another priority"
Completely agree though that we should try and keep paper copies to a minimum.

Thanks for your comments Andy, really very useful. I know Richard has addressed the point on environmental impact. Other points:
- Board sign-off - I know some trustees are very keen to see this kept. When it comes to putting messages out in the press, especially, it's about reputation management. It's important that trustees do have an opportunity to feed in to the process. - Titles rather than names: I totally agree. Will make it so! - Video and audio content accessibility: Yes, I agree with this. If anyone has an interest in doing this then please do let me know. - Large print - yes, I agree. This will be built in to future publications work. - "Outing" - yes, agree. We already act in this way. Our AGM was an example of how this can work. Delegates were advised on arrival whether they would be happy to be filmed. Those that weren't were given a small coloured sticker to denote they didn't want to be on camera.
I know some people prefer to get involved in discussions like this on Wiki so I've created a page for people to have their say herehttp://uk.wikimedia.org/wiki/Talk:2012_communications_strategy. Thanks again for all of your help.

I would prefer HTML (wiki) rather than a PDF.

+1. In addition, there are links to the internal office wiki and some private Google Docs pages. Is this intentional if we presumably want to keep communications and strategic plan as open as possible?

Those links are to things like the list of all the media contacts we have and to the page with the login details for our Twitter account - all areas where a bit of privacy isn't a bad thing ;-)

Looks like a merger of a strategy document with an implementation plan in that case....

As Chris points out, those links are to some of our account details and so on. One of the purposes of the document is to include a toolkit of useful resources and templates so that anyone communicating on behalf of the WMUK staff and trustees can find these resources in one place. If access is needed to them by volunteers I'm sure it will be given.
I really would like to reassure people that it's not about keeping things private for its own sake, it's just being sensible. Given that the UK wiki is public, if all of these account details and resources were there, there'd be nothing at all to stop people accessing and using them for nefarious purposes. I think we can all agree we don't want that.
That said, if there's things that anyone on this list think I can be doing to be more transparent please do let me know.
Thanks,
Stevie
