Last time I booked the downstairs room (for the EGM) - we arrived and the weekend staff didn't know about it. Suggest we pay in advance.

I don't believe we have to pay for the room. We do need to remind them a couple of days beforehand, though. The office are aware of that, so I'm sure it is in their diaries.
