In addition, I am delighted that the Funds Dissemination Committee and the Affiliations Committee will hold their annual meetings as part of the conference as well. This will give us all the opportunity to talk, discuss ideas, exchange experience, build capacities and shape the future of our movement together. I am extending this invitation also to the board and staff of the Wikimedia Foundation, and I hope that they again choose to join us for a couple of productive days.
== Themes and program ==
The program team [2] has already kicked-off its planning process and is now collecting topics and themes from all movement entities. Team members come from several entities and countries in the movement, including the Wikimedia Foundation, and generously volunteered to manage this process together. They will present the major themes and goals for the conference within the coming weeks.
The team is supported by Anna Lena Schiller, who is facilitating the whole process in the months before and after the conference. Nicole Ebber, as head of WMDE’s International Affairs unit, is a member of the program team and will also liaise between the team, the event management and the facilitator.
== Participation and registration ==
Based on the conference themes, the program team will make a recommendation regarding the number and type (board, staff) of representatives per affiliation. This includes a consultation with the AffCom to come up with a decision upon inviting Thematic Organizations, User Groups and affiliations-to-be.
We will open the registration in January, after the program team has presented the conference
themes and goals. By following this order, we aim to motivate and consult the participating organizations to send representatives and experts according to the conference’s themes.
== Travel, accommodation and supply ==
We are delighted that the Wikimedia Foundation has agreed to cover the general costs of the event.
Several organizations have included the travel and accommodation costs in their FDC proposals, project and events or other WMF grants and are responsible for covering these costs and booking their flights/trains themselves. For all those who have not budgeted for the conference, travel grants are offered and can be applied for in the registration process. Their bookings will be handled by the WMF travel coordinator.
Following the same principle, we will offer standard 4-bed-rooms in a hostel for everyone. Hotel beds will be available, but please not that the travel grants only allow for the hostel accommodation. We will block a range of beds in nearby hotels for that purpose.
Free food will be provided on all conference days at the venue, and Wikimedia Deutschland will host a light dinner at the new WMDE office every evening, plus a social program on Friday and Saturday.

in our invitation to next year’s Wikimedia Conference, we mistakenly stated that the FDC will hold their meeting during the event in Berlin, too.
In all previous discussions and emails around the Wikimedia Conference, it was kind of taken for granted that the process would just be the same as it was in 2013: We proceeded on the assumption that the FDC deliberations would take place during the conference again[1], but never approached and invited them directly.
We were now informed that their meeting will not take place in April, but most probably a few weeks later, in May (still to be confirmed). We are sorry if we have caused any confusion and, of course, keep up our invitation to all FDC members and FDC staff to join us in Berlin and participate in talks and discussions.

thank you for the correction, and many apologies that a lack of prompt communication from the side of the FDC and FDC staff has resulted in some misunderstanding in this area. I think I am not the only one in the FDC, who at some point would love to see the deliberations take place in the same time as our movement events, preferably even as a rule (and, in fact, I hope we'll be able to coordinate better in 2015). This time it seems that the schedule is not very favorable and we most likely will hold our deliberations in May.

Where will the upcoming round 2 FDC deliberations now be hosted? As I recall, the Wikimedia Foundation will be submitting a proposal for its non-core activities in that round, and also that deliberations will not be hosted by any entities seeking funding in that round.
Of course, please do correct me if my memories are failing me.

hi Katie,
we have not decided about a location. We are going to be slightly short-staffed this round. We still have discussions ahead if we should have different approaches to the largest budgets (currently, WMF and WM-DE) and screen them much more carefully and spend more time on their proposals, which would require a possibility of contacting their representatives for clarifications throughout the deliberations. This would make sense, as especially with the budgets going in millions, any uncertainty should be eliminated. In any case, we definitely will not have deliberations hosted by any of the applying entities (so e.g. even if we went to San Francisco, we would require separate arrangements, not on the premises, etc.).

travel grants only allow for the hostel accommodation. We will block
a
range of beds in nearby hotels for that purpose.
Free food will be provided on all conference days at the venue, and Wikimedia Deutschland will host a light dinner at the new WMDE office
every
evening, plus a social program on Friday and Saturday.
Our event manager Wenke Storn will be the main contact for all
questions
regarding the logistics, you can reach out to her and her team via wmcon@wikimedia.de.
