We promise we will upload very soon as possible to commons and YouTube. It might be as simple as taking to ashburn data center I hope and before I return to Germany in week and half
I am not sure we can do DVD

You totally should.
Also, Wikimania DVDs and USB flash drives could be a great addition to the Wikimedia Shop! Even with videos and slides of previous Wikimanias.

Please don't aim at perfection first: uploading to Commons needs a lot of conversion work and shell user intervention. Please upload to archive.org first as suggested in https://meta.wikimedia.org/wiki/Wikimania/Handbook#Upload , this will make the videos available immediately and also save the step of conversion to the shell user.

If I remember correctly they started uploading videos to Commons and YouTube almost immediately after the conference, though it is only 2-3 months later that all the individual lecture and panel videos were up. On Jul 13, 2012 5:26 PM, "Federico Leva (Nemo)" nemowiki@gmail.com wrote:

Videos on YouTube have been uploaded soon, but the full coverage only two months ago, not before making a WMF server crash to convert them. In the meanwhile, of course interest dropped so that nobody split the videos in usable format (per talk) and they're not even included in the wiki. Example: https://commons.wikimedia.org/wiki/File:Wikimania_2011_-_Day_1_summary_video.ogv

That's right, I started the conversion job on Friday, and when I came back on Monday the server had died and had to be powercycled.
A large part of the delay was in getting the videos to us: IIRC, we received the Big External HD With Videos in January or February, on the wrong side of the country (SF instead of Virginia). The rest of the delay was in setting up a conversion server, a few technical issues with it, and people (mostly me) doing this work on the side and getting bogged down with their "actual" work. Me moving halfway across the world didn't help either.
So all in all there were long delays on the organization side and on the Foundation side. I apologize for the delays caused on the WMF side, and I want to give a shout-out to Tomasz Kozłowski (User:Odder), the awesome volunteer who helped me transcode the videos, checked my work, and provided file descriptions and better file names for the videos. Thanks Tomasz!
As for 2012 and beyond, I'll send an e-mail to the organizers soon with guidelines for getting the videos to us in a way that's useful to us; a lot of the WMF-side delay was because the data we got wasn't as useful as it should have been, so we probably didn't xommunicate what we needed well enough. I'll try to publish that information on meta as well where possible (I may not be allowed to publish things like addresses).

Thank you very much for stepping in, Roan, and for your help in the past. That email will be very useful, I'd suggest to copy such documentation to https://meta.wikimedia.org/wiki/Wikimania/Handbook#Upload as well (someone will refactor it if needed). I think that asking the WMF to deal with conversion and hard disks is an inherently bad idea; it's wrong enough to need server-side uploads... Uploading to archive.org will avoid most of the headaches which were mentioned.

Yes, if the organizers or someone else can get the conversion done in a timely fashion and all we have to do is download ogg files from archive.org , that would be awesome. Still, though, what we're gonna need but what no one ever thinks about is file description pages. We can't just pull down files from archive.org and upload them to Commons without description pages and categorization and stuff.

But descriptions are usually made by a different person than the one(s) responsible for the videos in themselves; which is one more reason to just upload videos to archive.org and then let others curate them and complete further steps for upload to Commons.

Sure. Just sayin', someone's got to do it.

Thanks Roan and Tomasz for all yours hard work making our videos available also on Commons!
