The Wikimania handbook.... we've talked about it for years. I finally took advantage of a quiet, rainy Saturday afternoon to draft a comprehensive outline and overview:

But now it needs content :) Please help fill in details. The handbook is meant to be a collection of best practices, document practical information, and also serve as a checklist for future teams. But I also added a "historical" section at the end of each topic so that we can also document the various approaches that teams have taken.
So: if you have ever helped run a Wikimania (or even just attended one!) please help out in building the handbook. Future organizers will thank you.

There should exist also other documentation for similar events. Particularly I know the RMLL (World Meeting of Free Software in various cities of France, every year a different city which candidates with a similar process than Wikimania) has such documentation. For those who read French you can see

Cool! My French is pretty poor but that looks similar and useful. We need "how to Wikimania" documents :)
As I was working on the handbook I actually imagined a whole group of related documents: * the handbook * a good sample timeline * comprehensive checklists for each area * sample forms, i.e. for reporting a budget or negotiating sponsorship * registration & program system docs * and good historical documentation about past conferences, including lists of speakers invited etc.
this could be a package that we give to new teams. There is a precedent for this -- if you search on the web for "conference checklists" or similar you find lots of event management checklists and templates. But we need some that are customized for Wikimania...
