Subject: Moving Wikimania 20201 to a Virtual Event

Hi all,
Earlier this year when we decided to cancel Wikimania 2020, many of us were
hopeful that we would be able to postpone it a year to 2021. I was looking
forward to connecting with all of you in Bangkok in August for our first
ever Wikimania in Southeast Asia.
However, as we look forward, in spite of promising developments in vaccine
research it seems unlikely that we will all be able to travel freely and
convene together by August 2021. Over the past several months, the
Wikimedia Foundation Events team has been meeting with the Wikimania
Steering Committee[1] and the ESEAP Core Organizing Team (East, South East
Asia and Pacific regions)[2] to discuss how we can move forward with
Wikimania in 2021. Together, these stakeholders have decided that next
year’s Wikimania will be a virtual event. Instead of being hosted by the
ESEAP Core Organizing Team, this virtual Wikimania will be hosted by a
wider group of community members. Since there still is a strong wish to
host Wikimania in the future from the ESEAP team, they will remain the
hosts for the next in-person edition of Wikimania.
For many of us, hearing that we won’t be gathering in person at Wikimania
in 2021 is disappointing news. But I am encouraged by the success and
creativity of all of the recent virtual movement events, from regional
events like itWikiCon to the Wiki 20 event in Asia Pacific event to
celebrate Wikipedia’s 20th birthday and the Movement Strategy Global
Conversations held in December. I have gotten to hear from more of you over
the past months than I could have imagined at the beginning of this
pandemic. As always, Wikimedians have adapted and found new ways to connect
with each other.
We believe that this new virtual format will create opportunities for more
people within our movement to be involved in putting together a movement
event than ever before. We will further build on the collaborative, open
process for creating a Wikimania program that we started during Wikimania
in Sweden last year. Since this is our first virtual Wikimania, we will
also be able to learn from this experience and hopefully include options
for virtual participation in future in-person Wikimanias as well. Wikimania
2021 may not happen as any of us initially imagined, but it will still be
an opportunity for celebration, especially as Wikimania 2021 will happen
during Wikipedia’s 20th birthday year.
We welcome ideas for this virtual Wikimania and in January, we plan to
share more information about how you can get involved in the planning
process. We will also be able to share more information in the coming
months about what this means in terms of invitations, submitting sessions
and scholarships. In the meantime, please share your thoughts, ideas and
suggestions with the Wikimania Steering Committee on Meta[3].
As a movement, we value those opportunities to connect together in person,
and look forward to when we can all gather in person again. Until then,
stay safe and take care!

I share your melancholy, Phoebe. While I’ve attended 2 WikiCons (2018 & 2019) this would have been my first Wikimania, and I was sooo looking forward to it. 😢 I try to keep up with things via the mailing lists and online meetings but life keeps getting in the way. I’d like to carve out a little niche for myself as a useful volunteer at the events so add me to whatever list you think I’ll fit. I’m a retired tv producer/documentary filmmaker/photog/video photog but I can also pull weeds, plant seeds, wash dishes and cook. 😊
Best wishes!

Dearest Wikimaniacs,
I've found myself this week catching myself at various times feeling
melancholy. Yes, there's a lot (a lot) of stuff going on the world and it's
been a very, very hard year. But there's one particular thing that I've
been thinking about this week, which is - this was supposed to be Wikimania
week, starting in a few days.
If the pandemic hadn't happened, I (and perhaps you) would be on our way to
Bangkok soon, to celebrate the 16th Wikimania. We'd be connecting in person
about all the things our movement does, online and off. We'd be making new
friends and renewing old friendships and getting rejuvenated once again for
the work we do.
I miss you all terribly, and I also want to celebrate that we've had 15 --
and counting -- amazing, life-changing movement-wide conferences, held all
around the world.
Andrew, Richard and I are starting a new podcast series to celebrate
Wikimania and our history, called "Wikipedia: year by year". We'll be
chatting with invited guests to discuss the world of Wikimedia each year,
seen through the lens of Wikimania. We're starting with Wikimania 2005, of
course -- the very first Wikimania, held this week (well, August 4th) in
2005 in Frankfurt, Germany.
Tune in this Sunday, 19:00 UTC (3PM EST) to listen to us and some special
guests talk about that Wikimania, why it was so cool, and what the world of
Wikimedia was like in 2005. Send us questions and comments on social media,
add your own experiences to the etherpad, and watch live (or watch the
stream afterwards).
Info on tuning in:
https://meta.wikimedia.org/wiki/Wikipedia_Weekly_Network/Year_by_Year
etherpad for comments & story-telling, before or during the episode:
https://etherpad.wikimedia.org/p/Wikipedia_Year_by_Year__2005
And regardless of whether this year would have been your 16th Wikimania,
your first Wikimania, or you weren't going to attend in person: let's
remember and celebrate the strength and the joy of our movement in any way
we can. Let's celebrate the late nights and the dance parties and the
multilingualism and the hacking and... staying up to make just one more
edit.
I miss you!
Phoebe
p.s. our hope is to not stop with 2005, but go through all of the years,
building towards the 20th anniversary of Wikipedia on Jan 15, 2021. Help us
build out the series and ideas for episodes (and guest suggestions) on
meta!

Dear everyone,
As a part of the Wikimedia movement’s ongoing response to the COVID-19
pandemic, we are postponing Wikimania Bangkok 2020. This decision was made
with the full support of the ESEAP host team and Wikimania Committee.
Together, we will hold Wikimania in Bangkok in 2021.
We are filled with sadness to not see you all in Bangkok in August.
However, we are confident that this is the best possible decision for the
well-being of our global community and public health overall. This decision
was proposed by the ESEAP organizers in line with their countries’ response
to the COVID-19 pandemic and is in line with recommendations from the World
Health Organization (WHO).
You are certain to have many questions. We hope to answer some of your
questions below. We will continue to answer questions on the Wikimania
Meta-Wiki page and on the Wikimania Telegram group chat (more information
below).
*== What does “postponing” Wikimania mean? ==*
We will not host an in-person Wikimania in 2020. We are rescheduling
Wikimania Bangkok until 2021. The ESEAP organizing team[2] will continue
their work as a regional collaborative between affiliates in the East,
South East, and Pacific regions to host us in Thailand next year.
The hotel and venue[3] in Bangkok will remain the same. We have not yet
finalized dates for 2021. We will work with the ESEAP team and Wikimania
Steering Committee to confirm new dates. We will let you know these dates
by the end of 2020.
The good news is that Wikimania 2021 will coincide with Wikipedia’s 20th
birthday year. We expect this to be a truly memorable Wikimania -- an
opportunity to celebrate reconnection after a year apart, along with the
remarkable accomplishment of two decades of free knowledge.
*== Will there be an alternative to the in-person event? ==*
There are no plans by the 2020 Wikimania hosts to organize a virtual,
online event. Hosting Wikimania is a lot of work. The ESEAP team is
committed to hosting the best possible in-person event in Bangkok in 2021.
Therefore, they will not have the capacity to organize a virtual Wikimania
this year.
However, the Wikimania committee, the ESEAP host team, and the Wikimedia
Foundation all recognize that other members of the community may be
interested in organizing a remote, global Wikimedia event for 2020.
Although the Wikimedia Foundation does not have the capacity at this time
to lead the organizing of a virtual online conference, we recognize others
may have the desire to do so.
We welcome discussion about online events. Interested parties are welcome
to contact the Wikimania Steering Committee and Wikimania Foundation staff
for advice on the Wikimania Meta-Wiki page[1].
We are also considering proposals for improving the capacity of communities
to organize local virtual convenings, and for how we can support
communities in organizing impromptu local and regional Wikimedia events
once the pandemic passes. As the situation has been changing rapidly we are
still working on specifics and will share more information in the coming
weeks.
*== What does this mean for scholarship applications? ==*
We are working on a plan for how to process Wikimania 2020 scholarship
applications.[4] We will share more information in the coming weeks.
*== How was this decision made? ==*
This recommendation was made by the ESEAP organizers based on what we know
about the current COVID-19 global health pandemic and current WHO
guidelines. The decision was made together with the ESEAP team in
consultation with the Wikimania Steering Committee and Wikimedia
Foundation. Together we are fully and unanimously aligned around this
decision.
Although we are genuinely sad to not have the opportunity to see you all
this year, we also are fully supportive of this decision in all of our best
interests. It allows our ESEAP community hosts to focus on the immediate
needs of their families, local Wikimedia communities, and local communities
as a whole. It is in line with global public health guidance and aligns the
Wikimedia movement as a responsible actor in support of our common public
good.
We want to thank all volunteers and affiliates that have been involved with
planning Wikimania. We’re especially appreciative of the ESEAP for their
leadership, flexibility, and compassion, as we have worked together to make
some difficult decisions on this important event.
*== Where can I learn more about Wikimania 2021? ==*
There are a number of channels where Wikimania is regularly discussed and
where plans for 2021 will be posted as they develop. We welcome all
interested participants to bring together our collective wisdom and
creativity to discuss what happens next with Wikimania. You can find these
channels here:
- Wikimania wiki: https://wikimania.wikimedia.org/wiki/Wikimania
- Wikimania mailing list:
https://lists.wikimedia.org/mailman/listinfo/wikimania-l
- Freenode IRC channel: #wikimania
- Telegram group chat: https://t.me/wikimaniachat
*== Where can I learn more about COVID-19 and Wikimedia? ==*
We know the Wikimedia community as generous and altruistic. Unsurprisingly,
many volunteers have started applying their skills and attention to this
current global pandemic. The Foundation created a page on Meta-Wiki where
we can share and document the steps the Foundation and movement members are
taking and ways to participate. We invite you to join us in documenting
more about our collective response: https://meta.wikimedia.org/wiki/COVID-19
*== Thank you ==*Our world, and many of our lives, have changed rapidly
over these past few weeks. Yet we can look to history to take comfort that
crises are also often moments when people put aside differences, prioritize
community and care, and find ways to connect. The sense of community and
purpose within the Wikimedia movement is a powerful rejoinder to these
uncertain times.
This is a moment in which not only what we do, but how we do it, will make
a meaningful impact on the world. We are so grateful for all that you do as

Dear Wikimedians,
I would like to share to you a statement:
*Joint Statement of the * *ESEAP Wikimania Organizing Team * *and Wikimania
Steering Committee * *on COVID-19*
12 March 2020
The ESEAP Wikimania Organizing Team, Wikimania Steering Committee and the
Wikimedia Foundation acknowledge the current COVID-19 threat
<https://en.wikipedia.org/wiki/2019%E2%80%9320_coronavirus_pandemic> and
are taking this situation seriously.
A joint decision on the fate of Wikimania 2020 based on a careful risk
assessment will be forthcoming and we ask for your patience.
Thank you.
Kind regards,
Butch Bustria
Head of the Communications Committee
ESEAP Wikimania Organizing Team
Wikimania is fast approaching, this year it'll be held in Bangkok and as
always the Wikimedia Foundation has a limited number of opportunities to
assist people to attend. There are two types of scholarships the first
being a full scholarship which covers, travel, accommodation, and
registration, the second a partial scholarship that covers accommodation
and registration.
This year for the first time East, South East Asia, and Pacific (ESEAP) as
collaboration between the region we'll be your host for Wikimania. The
region has placed a high importance on collaboration and knowledge sharing
this years Wikimania program will reflect that. Our theme is;
*Power of Diverse Collaboration*
*Sharing knowledge brings people together*
How does this impact on scholarship? ESEAP is looking for people who are
prepared to share their knowledge to help develop potential future
leaders. We'll be looking for two broad areas of contributions, from those
who have successfully developed programs, and those newer contributors who
want to develop their skills to do more but have never been to a Wikimania
to broaden their support networks.
As you apply please agree to share your details with the local affiliate
should they also have scholarships available. When answering questions if
you have urls to reports, dashboards, and events please provide them.
Rather than writing lots of words again let your past recordings speak.
On behalf of the ESEAP community, and the Scholarship committee we look
forward to seeing you in Bangkok in August.
