Based in the meetup minutes, there was an intent from Indonesia. But if Australia also intent to host too then it is best that we plan this as early as possible as the 1 hour meetup in Berlin and in Wikimania is too short.

Australias offer is only if Indonesia dosnt want to proceed, I was at the Berlin meetup where it was put forward and fully support Indonesia hosting the event... What ever the out we do need to ensure we get something happening for our communities locally soon as hosting a larger event in the region apparently is needed now before a wikimania can be hosted

Most of the participants at this year's Wikimania Asia meetup favored for Indonesia. That's okay, but there's another point about hosting it in Australia. Australia's visa policy might result in a reduced number of participation from Asian communities, since that is not as generous as that of Indonesia. So this need to be kept in mind.

Please I'm not trying to take it away from Indonesia, just think its an important event that we need to hold for our region and that we need to get on to it sooner if we are to get funding for an event in 2018
There are a lot of hoops to jump through and the application for funding process as understood from berlin notification and discussions is that at least 3 months for funding discussion noting that things slow down over the december period, 3 months for scholarship and call for papers.
Once we add to that planning, costing those little details we'll need for the fund application thats putting us well into 2018., We dont want to conflict with Wikimania there goes june to august, too close means people cant attend both.
We loose late march early april to Berlin though thats a great opportunity to get some speakers and advice. we have two windows. left even starting today late April to early June or August to October

Yes, there have been previous conversations regarding ESEAP (East and South East Asia Pacific) regional conference and Wikimedia Indonesia has offered to support by becoming a host to this event. WMID is still committed to hosting this next year. Our small team has even write a proposed budget and form a core committee. The proposal writing team is supposed to write the proposal grant and submit it around end of September or early October.

Based on the composition of the meetup, interested participants go as far as Iran and the Levant regions to the west, India, Bangladesh then Australia to the south. Even communities in Eastern Russia are expressed interest to join.
If this will come to possibility, it will be the most diverse wikimedia regional conference.

Yes, there have been previous conversations regarding ESEAP (East and South East Asia Pacific) regional conference and Wikimedia Indonesia has offered to support by becoming a host to this event. WMID is still committed to hosting this next year. Our small team has even write a proposed budget and form a core committee. The proposal writing team is supposed to write the proposal grant and submit it around end of September or early October.

We would love to host Asian Conference, but considering that it will be the first time for WMID to host such a huge regional conference and also taking into account the time span and resources for preparing the conference, we prefer to start small and we cap the participants to 50 people max, from ESEAP. Afterwards, we can discuss about the possibility of hosting a bigger conference.

I applaud your cautious approach but please could you look to say 100 participants as 50 will see too many people unable to be part of the event especially given the number of communities and just the FB group that were talking last night about this had over 60 participants, I suspect that this mailing list also has more than 50.

We expect to run ESEAP conference first as ESEAP representative in Wikimedia Conference already discuss it before, so it should be not more than 50 participants, as we would like to increase the community participants in ESEAP region. ESEAP region is also more underrepresented in Wikimedia movements than other community. When we gather together in conference, we miss out people from Brunei, Singapore, Myanmar, Laos, Cambodia, Timor Leste even Vietnam as well as Indonesian and Australian. That's the reason why we should try to do a small conference first, after that we can do together a bigger conference such as Asian Conference. We can start to work with another region and especially Indian community who have established a good event, such as WikiConference India. Is this reasonable for you?

I applaud your cautious approach but please could you look to say 100 participants as 50 will see too many people unable to be part of the event especially given the number of communities and just the FB group that were talking last night about this had over 60 participants, I suspect that this mailing list also has more than 50.

I agree with doing a small conference first, I thought that given what is available as venues in Indonesia that a 100 person event over two days all in one hotel(Like Berlin 2017) somewhere would be quite manageable. The target of 50 I thought would be too small to be able to get a good cross section of participants from enough communities. As part of this is going bigger the smaller the initial number the less able we will be to build sufficient momentum for the next one. Also small size can have a negative effect of being seen as an event for those privileged usual suspects.

I fail to understand why every time the ESEAP or ASEAN countries are mentioned, Thailand, as one of the more developed countries in the region is never on the list. Have I done something to upset everybody? Is it because I was not at this year’s Asia meeting in Montreal? Is it ONLY for representatives of established chapters? Are smaller initiatives that have not reached Chapter status locked out?

I applaud your cautious approach but please could you look to say 100 participants as 50 will see too many people unable to be part of the event especially given the number of communities and just the FB group that were talking last night about this had over 60 participants, I suspect that this mailing list also has more than 50.

There are a lot of hoops to jump through and the application for funding process as understood from berlin notification and discussions is that at least 3 months for funding discussion noting that things slow down over the december period, 3 months for scholarship and call for papers.
Once we add to that planning, costing those little details we'll need for the fund application thats putting us well into 2018., We dont want to conflict with Wikimania there goes june to august, too close means people cant attend both.
We loose late march early april to Berlin though thats a great opportunity to get some speakers and advice. we have two windows. left even starting today late April to early June or August to October

If we want to expand the cap (if not to 100, maybe 70 or something), what can the rest of us provide to make the host more comfortable/confident? What help is needed? I believe that there are other resources than the venue capacity that might limit the event size.
Anyway, I think the cap should be whatever number the host feels comfortable to manage - organizing an event larger than the organizer's capacity can be exhausting.
