Hi all,
What supplies do we need? I can pick stuff up. I am also going to swing by the office on Friday so can take stuff from the office.
best, Phoebe
I may have a box or two to get you to carry from the office ;) I'll join you if you still have room or will take train otherwise I'm staying at a hotel nearby Friday/Saturday and can get stuff together if needed. We're talking to OIT to get some laptops together and probably either a tv or a projector (I know we have some Tvs around looking for a projector which we probably have somewhere if we look hard enough) as well as a poster for people to sign that we're still thinking about.
Stephen and I were thinking about something like "I love Wikipedia because...." or something like that printed out on our big printer. Anyone have ideas on what to say?

Hey James --
Yes, I'll have the back of my car and the backseat free for people/boxes (though I don't have the biggest car, as you know...!) I will also be staying in San M. Friday/Sat so we can stash them whereever we have room.
Also on my shortlist to come up with: * table skirting -- if we have more tables we need more table coverings * water * something to hand out about the local group * something else to give people -- brochures about wikimedia/wikipedia? Any thoughts on this?
Let me know if there's any missing electronics -- I can always take my tv etc but it would be easier not to, and just take stuff from the office.
Also I'm going to try to come early -- so if we must we can make a couple of runs.
I like the "I love Wikipedia because...." idea! phoebe

Yeah I think we're at the same place (I got the name from Stephen), I'm going to try and get my hands on at least some of the 'how to edit wikipedia' books from the education group and maybe some of the reliable source booklets they use incase there are educators who are interested? I'm not sure if we'll have enough to have them just out for everyone or if we'll have to ration a bit for people who talk to us but I'm aiming for a whole box if I can.
Do we have things about the local group? I'm happy to print stuff at the office if it's better. Water is big, I'm bringing some waterbottles but that doesn't actually help much were you thinking of just a couple big containers of water from wallgreens or something?

Hmmm too bad we didn't get the big booth...
We should take whatever banner-y/sign type things we've got, since we don't know what the space looks like -- we might want them hung behind us, off the tables, etc. If we don't use stuff we can always just store it.
I'm pretty sure they will give us extra chairs.
I will get: * water for the volunteers & snackfoods * extra duct tape and cords for hanging * a couple display print-on-demand books (i've got a couple) * table skirting / sheets * scissors
We don't have anything specific about the local group -- one year I made business cards with the list address.... If we don't have anything else I can just whip something together again...

Another thought: do we have any large-format photos of wikipedians in action that we could display? like meetup photos or the wikipedia 10 photos? One thing we've never really had is a display about the global projects. It would be nice to have something that really focuses on the community as well as the projects.
p.s. James you are going to get us shirts to wear instead of the vests.... right? right?

I'll check with LiAnna to be sure but we should almost certainly be able to use 1 or 2 of these.
Laptops
should talk with OIT about this
Freebies (stickers, buttons)
I'll handle these
Educational material
How to edit Evaluate quality Annual reports?
and these
Printouts on each project
Do we have any thing like this prepared from before?
Large TV Projector, screen
Should talk to OIT about these
Extra chairs Small folding table Switch Power strip Ethernet cables
These we should be more then fine with from office
Duct tape
This is probably around the office but need to look around
Table cloths
Fabric for the sides of our booths
Signs More signs? Sharpies
in Office supplies, easy
Sign for signatures (“I use Wikipedia for...”)
Once we settle on this we can talk with Jay and get this printed
Sample POD books James’ store equipment Water bottles for volunteers
Snackfoods?
Those vests
Also, I just found out we have a 10x10 booth and two tables.
is 10x10 the size we had last year? Do we know location?

Yes, I'll have the back of my car and the backseat free for people/boxes (though I don't have the biggest car, as you know...!) I will also be staying in San M. Friday/Sat so we can stash them whereever we have room.
Also on my shortlist to come up with:
- table skirting -- if we have more tables we need more table coverings
- water
- something to hand out about the local group
- something else to give people -- brochures about
wikimedia/wikipedia? Any thoughts on this?
Let me know if there's any missing electronics -- I can always take my tv etc but it would be easier not to, and just take stuff from the office.
Also I'm going to try to come early -- so if we must we can make a couple of runs.

Stephen and I were thinking about something like "I love Wikipedia because...." or something like that printed out on our big printer. Anyone have ideas on what to say?

I might be able to ;) I don't know if I can come up with 20 to give away.... but I can certainly come up with a bunch. More people wearing "I edit" shirts is better on all sides!
Unless you want the polos of course, I'd almost pay you to take those off of my hands... I mean those are amazing you know you want them

We should take whatever banner-y/sign type things we've got, since we don't know what the space looks like -- we might want them hung behind us, off the tables, etc. If we don't use stuff we can always just store it.
I'm pretty sure they will give us extra chairs.
I will get:
- water for the volunteers & snackfoods
- extra duct tape and cords for hanging
- a couple display print-on-demand books (i've got a couple)
- table skirting / sheets
- scissors
We don't have anything specific about the local group -- one year I made business cards with the list address.... If we don't have anything else I can just whip something together again...

I DEMAND VESTS. Also, I can probably make myself free on Friday and I've got the pickup truck, so I can haul all things.
For tech stuff, I'd say one of the 32" TV's would be sufficient (if one could be made free), 1 projector and say 6 laptops (4 for interactions + 1 to power tv + 1 to power projector)? Or at least 4 laptops and a couple chromebooks/similar. I've got a gigabit switch I can drag along, hopefully we'll have wired Internet (Stephen, did we request wired internet? Can we do so now if we havent already). Oh, and power strips, the bigger the better.
