I hope you are enjoying the holiday today.
December will soon be here, and with it our holiday party. Because of the delays of our User Group application we are significantly behind the timeline that I anticipated when I first discussed the possibility of a holiday party with TA3M. I'd like to suggest that I personally make a request to GAC for about $50-$75 for food and non-alcoholic beverage expenses for the party, because I want to make sure that GAC has time to process this request before the party happens. Please let me know if there are any concerns. If not I will submit a request to GAC soon.

You say we are behind schedule due to the UG application process, but I am curious how this relates to the holiday party and what you told TA3M. Do you mention this because if we were further along, we would be submitting a request for funding through another channel, or....? Just curious.

Yes, I would have preferred that this be a request to GAC from "us" (Cascadia Wikimedians User Group) than from just me personally, but since there isn't an "us" until we have CWUG in place, I'll make this a personal request if no one objects. I can ask GAC that if CWUG comes into existence before the party with TA3M, that they then treat the request as if it's from CWUG if CWUG agrees to be responsible for handling the grant, in which case I would forward any money recieved by me from GAC for the party to CWUG.

Great to hear the user group is planning for startup costs and events for the next year. Typically, we do not accept proposals under $500 (see eligibility requirements https://meta.wikimedia.org/wiki/Grants:PEG/Eligibility_requirements). This policy was put in place to maximize the Grant Advisory Committee, grant requestor, and staff's time.
We would suggest that you either (1) fund the event yourselves, save the receipts, and then include a request for reimbursement in your first grant (normally we do not encourage retrospective grant requests, but this would be an exception) or (2) request a grant now for at least $500 for small events covering a year or so.

In this case I guess I will cover the cost personally and request reimbursement later. If we approach GAC for startup funds, that request is likely to be over the $500 threshold.

Great, thanks for the update. Just be sure to save your receipts and when you do request a larger grant, add a comment that your were advised to include the retrospective expenses (so the GAC is clear).
