I concur that the startup funds should be disbursed to Pine.

Wikimedia DC, Alex (WMF), and Cascadia board,
As I mentioned in an earlier email, Xero is having a sale that will save
$90 in cost if we subscribe by the end of January. (I have a coupon code
for the sale.)
In addition to this timing consideration, I have observed the following
conundrum: we can't set up a bank account if we don't have an address and a
Washington State business registration, and we can't set up our address
with Impact HUB if we can't pay, and we can't register with Washington
State if we can't pay.
To get out of this conundrum, because timing is important (the Xero sale
ends on January 31, which means that we need have funds available before
then), and because Wikimedia DC's reporting requirements appear to be less
time-consuming than PEG's reporting requirements, I would like the group's
permission to request interim funding from Wikimedia DC's grants program
for the following expenses. The payment would be made to me, and I would
use the funds for the following purposes:
Two months of Xero subscription, after discount, plus tax: $33
Two months of Impact HUB rent, for 2 days each month: $70
Two months of Impact HUB mailbox rent: $50
State of Washington business license, including $19 processing fee and $5
trade name fee: $24
State of Washington Secretary of State nonprofit corporation registration:
$30
City of Seattle registration: $110
City of Bellevue registration: $86
Initial refundable bank deposit with BECU: $5
High-security checkbook from BECU: $35
Total grant request: $443
Any remaining funds would be returned to Wikimedia DC. If these expenses
are funded by Wikimedia DC, then they would be deducted from our upcoming
PEG request to WMF.
Is this agreeable to Cascadia's Board members? We need at least 4 members
of our Board to agree before I can submit this request to Wikimedia DC.
Thank you!

Alex and James,
Xero, the accounting software that we plan to use, is running a sale of 50
percent off for 6 months if we subscribe by January 31. This would save
about $90. But our PEG funding is most likely to come in February. Is there
a way that we can *quickly* get funding early from WMF or WMDC for just the
first month of service, which I believe will be $15 plus tax? I think this
will be sufficient to lock in the discount for 6 months. I am trying to
avoid loaning my personal funds to keep everything as clean as possible
from accounting and legal standpoints.
Thanks,
Pine
Hi all,
I have almost finished drafting a proposed budget.
I need to make a few more tweaks to the bylaws proposal.
I hope to have both documents be published and ready for public comment by
sometime on Friday.
Apologies that this is happening on short notice. I had planned on doing
this work in February, but due to WMF Grantmaking's announcement about a
January 31 deadline, things are a bit rushed.
We can make amendments to the budget and bylaws later if needed, although
amending the budget may require that we wait until May for funding unless
we have an urgent request or we request funding from a source other than
WMF.
The budget is the more time-sensitive of the two documents because of the
January 31st deadline to submit a proposal.
Please be sure to check your email on Friday evening or over the weekend
for links to the draft budget and bylaws, and please look through them
prior to our meeting on Tuesday so that we are all prepared with questions
and comments.
Thanks!

Thanks everyone, I very much appreciate your support.
It sounds like there will be more testing done mid-week followed by the
main surgery sometime next week or early January. If all of the vitamins
that he's been taking for years have been effective then I'm hopeful for a
good outcome.
When I'm not working this week or visiting with family, I hope to catch up
on Cascadia tasks. Also, I may join the Beowulf cluster tonight if I get a
good chunk of work finished by that time today.

Stephen,
I would like to share the draft trademark agreement publicly so that other
Cascadians can look it over prior to our board meeting. I would also like
to include it on our website when we get one, and/or on Wikimedia Commons.
Is this ok with you?
What copyright license does the agreement doc have?
Thanks,
Pine
Hi Cascadians,
Let's plan on having our first board meeting on or around the semi-regular
Seattle meetup day, which would be Tuesday, January 13.
I was planning to postpone most of my further work on Cascadia until
February, but I just learned today that there's a WMF funding deadline that
requires us to have our initial budget submitted by the end of January *or*
wait until May if we want WMF funding. I'd like to get us underway sooner
than May. I apologize for the rush. Today was the first that I heard of the
deadline.
Tentative agenda items:
* Bylaws (Peaceray and I have been drafting these; we'll send out a copy
soon for public review).
* Officer appointments by the Board.
* Website agreement with Top Level Design
* Program selection and funding for February through July (tentative)
* Startup budget for February through July (tentative). We can submit
supplemental requests in May or later. We can also submit requests to WMDC
for smaller items, and we can include a relatively large request for
reserve funds due to the funding blackout period.)
* Authorization for initial legal registrations, service purchases, and
other contracts.
* Additional agenda items forthcoming.
To accommodate board members who are away from Seattle on that date, Mako
has graciously agreed to provide us with access to the Internet via UW so
that we can video conference.
Let's plan on having a relatively long meeting (maybe 6 PM to 10 PM?)
although hopefully we'll move fast enough that we'll be done by 9 PM.
For non-board members: there won't be confidential business at this meeting
and you are welcome to attend. Although only Board votes will be counted,
your good-faith comments and questions are welcome.
If any board members cannot make that date and time, please let me know.
Also, if you plan to attend via phone or Google Hangout, please let me
know. Reminder: we will meet at *UW*, not at Cafe Allegro, exact location
to be determined; we will also have Google Hangout available so that people
can attend remotely.
Thanks, and I look forward to seeing you!

Hi Renee,
I heard that you are the event coordinator for Wikiconference USA. Thank
you for taking this role.
Here in Seattle, our meetings are usually on the 2nd Tuesday of each month,
with occasional additional events. If you want input from us as a group,
you can email us your question or you can ask to participate remotely at
our meetings.
Please feel free to ask other Cascadians for their input or to take
conference leadership roles. I am currently very occupied with two jobs,
one of which is a WMF internship. When the internship ends in February, I
might have a little time to assist with the wikiconference.
I have voluntered to write a modestly sized pre-conference Qualtrics survey
for potential Wikiconference USA participants in February. Please let me
know if such a survey sounds like a good idea.
I would encourage you and the organizing team to make decisions soon about
the dates of the conference and the general tracks or themes of the
conference, and begin to market the conference soon after that. A Qualtrics
survey might assist with making those decisions.
Other Cascadians may have comments or questions for you.
Thanks again for taking on the role of event planner. It sounds like WikiEd
will support the conference in a number of ways. That is much appreciated.
