With VIA, the cheapest normal one person fares are $145 return. VIA Rail do groups rates for groups of ten or more, and every 20th ticket is free (effectively) - see http://www.viarail.ca/en/fares/discounts/groups - but I've no idea hwo much you get off. You can also charter a private car (http://www.viarail.ca/en/resources/chartered-car-rental), but that costs around $85/person one way.

In particular, something that would be immensely cool is some group travel thing allowing people from Toronto to travel to and attend cheaper than flying/driving on their own. It's probably a little far for a chartered bus, but maybe Via Rail can be coaxed into a group rate?
Also, I expect some of the potentially interesting corporate sponsors have their HQ in Toronto; my experience has shown that begging for money is best done in person.

One advantage that VIA has is WiFi ... and it's free at the moment.
Something to consider for travelling.
The $85 per person depends on having 68 people in the coach. That's an optimistic number, even for places as close together as Toronto and Montreal. ... and 2 x $85 is still more than $145. Piling 4 people into a car and splitting about $100 for gas is still cheaper.

Agreed, it's cheaper to rent a car, but I'm sure we might be able to get something more out of VIA. Much more comfy then a car or an airplane, most trips have a snack bar and it seems WiFi. If there is any interest, I'll see if they do better rates for non-profit groups.

Perhaps I'm just showing my age, but is it really necessary to have WiFi all the way? The land trip between Montreal and Toronto only takes five or six hours. It's not particularly uncomfortable if you limit yourself to four people in the car, more if you have a van. The 401 is heavily travelled, and there are restaurants along the way. The other benefit of having you car is that it is available for your use when you get there.
Coming from Vancouver I have no choice but to fly. I've done the drive before each way in four days, but that's only if I'm pushing it.

Megabus offers bus travel between Montreal and Toronto at rates between $1 and $50 per person, depending how early you reserve. (There are tickets available for tomorrow at $40.) They recently upgraded to double-decker buses with wifi availability, they have toilets on board, and there is a midway stop at a little food counter with a nearby Tim Hortons.
