With less than 3 weeks to go, we haven't even decided the exact date, venue & the guest speaker and it is high time we all put our efforts into full throttle !
I know Srikanth L ( logicwiki) / Manish ( SBC-YPR) is leading the effort, but we require large number of volunteer contributions to this effort. A larger participation & leadership from the chapter folks is humbly requested, without which we cannot take it forward.

We also have to finalise whether we want a morning-evening event or only afternoon-evening event...If we are planning for a morning-evening event, we need to arrange the lunch for the attendees ( either paid or free) . Without arranging lunch ( whether paid /free) , there will be chaos / confusions /delays for an all day event ( prior experience from Chennai wikimeetup event). We need to have some insights on how to meet the operational expenses for the day.
It will be great if we have a clear picture of the plans like atleast venue/speaker/lunch/expenses atleast before new year.

Queried Barry on this yesterday; similar question from Pune group around expenses. The Foundation is funding a small amount for anniv celebrations - $500 per city. So this is one possibility.
If you'll are interested in applying, please fill out a grant request here ( http://meta.wikimedia.org/wiki/Grants:Index) and email Winifred Oliff ( wolliff@wikimedia.org) with bank transfer info by Dec 31. The Pune group has applied there.
This one-time funds transfer can be made to individuals, who can handle this on behalf of the planning group in each city - since there is currently no entity that can receive this in India. Usual accounting procedures to be followed: keep all bills and receipts and account for full amount.

Thanks Tinu for the mail inviting volunteers. We definitely need quite a few people making this event success. I think we must still go with the 1 day format. Morning being a more experienced wikimedian focussed, I think we could do with 100 plates for lunch and could finance through the foundation grant. Major spends would be food / venue.Lets try to get a free venue,so that we make best use of money. HPN / Arun are working on getting a venue.Looks like educational institutions(IIM,IISc) require people meeting in person and we are looking for some place inside city. IIIT-B looks like an option open, but we would want to exhaust places inside city before reaching out to them.Arun Ram / Gautam are working on the speaker and they can provide a better update. I have mailed details of shipment of Merchandise for 500 people to Steven and will keep a tab on it and update.
I have been talking to people around in making the content on the event and have been getting 50:50 responses considering 15 Jan being a festive day and people going Out of Town.I would continue to reach out to as many people as possible for increasing the volunteer team. We might also try and come up with a flyer(with FAQ and some more content) and print pamphlets for distribution.
I think we need to freeze venue / speaker by Jan 1 to have enough time for promo / publicity.Feel free to contact me in case you have anything related to the event.
