I would like to share a planning guide that was developed by WISCom members to assist answer important questions as you prepare to host this event. The guide includes recommended milestones and a timeline to follow. As this document gets updated, I will be sure to send you the latest pack promptly.

- How and when do we decide the date for the event in November? We have discussed internally and we think 6th to 8th November would good for us. - Will there be planning meetings between the host, WISCom, and Wikimedia Foundation staff, if yes how frequent will the meetings be, and when do they start?
We have created the first draft of the landing page here https://meta.wikimedia.org/wiki/WikiIndaba_conference_2020 For event branding, we would like to use Acacia Tree and are working on the logo design.

I am delighted at your responses. Herewith some answers/suggestions to your questions:
*1. for committees that have to be constituted, do we have to make a call
for people . Especially if they have people not in uganda. *
Yes, its good practice . to make a call for volunteers to join the committees.
*2. in regards to sponsors ... are we looking at particular kind of
specifications i.e non commercial ..really what am saying is what sponsor shouldnt we look at.*
There is no clear bright line with regards to this as far as I know. The convention is that we avoid approaching government institutions who may want more than we can give as a movement in exchange.
*3. In terms of event coordination..... is it possible to work with an
event coordination company towards the last days i.e airport pickups drop offs.... service *
Yes, it is possible to do this. Chen can say more about this. Requirements are different in different countries and organizations. Generally air travel, transfer and hotel accommodation are the big items in your budget. You are at liberty to decide the final date in November. I believe the only window we have actually is the first two weeks of November as Wiki Arabia and Wikidata Con usually tend to be around this time of the year too.

Yes, WISCom is anxious to provide support for the host country and would appreciate regular check-ins with you. I would suggest setting up a bi-monthly call with WISCom. Once you are ready to submit a grant, you are free to be in touch with WMF as often as required by your own planning needs.
I am super excited that you chose the African Acacia tree! When deciding branding for the first Indaba it came down to the Baobab and the African Acacia. Very good choice, and I am looking forward to the symbolism you attach to this tree in relation to the conference. In fact, I encourage you to write a blog post on Wikimedia Space about this when you launch the branding!

I am super excited that you chose the African Acacia tree! When deciding branding for the first Indaba it came down to the Baobab and the African Acacia. Very good choice, and I am looking forward to the symbolism you attach to this tree in relation to the conference. In fact, I encourage you to write a blog post on Wikimedia Space about this when you launch the branding!

@Douglas, actually the trees are all different the first two were Baobabs, the third was an Olive tree, the fourth was an Iroko tree and the proposal for Uganda is the King Acacia tree! :)
