So after several urgent reminders I expressed in past days in mails and on IRC, that we did not receive anything yet and the tracking still says the transfer has been initiated but the goods not picked up yet, with basically no response, I realized by calling to the FedEx CZ office short time ago (they were very helpful with tracking down the package, they spent about an hour by checking all possibilities), that the sending company did not send the package to us yet with 99% probability (there is still one very complicated way how it could have been send & delivered, but they mentioned, the probability almost equals zero).
Now, this is obviously critical, as it seems we are going to have an event - concert - without anything, which - to be honest - sucks (I apologize, if this word is too dirty or inappropriate, but I don't know any synonym for that, so please pardon me for using of it.) and changes our plans quite a lot.
My idea: Can whoever responsible please find an express carrier that is able to deliver the package on time (because FedEx is not able to, since they have 2-3 days delivery time), please? We are +8 hours from San Francisco, so if there was a company with either 24hrs delivery guarantee and/or the company which delivers on Saturdays as well, it is still doable, if the manufacturer will send it immediately. I am willing to help to it by picking up the package in delivery central storagehouse (as long as it is in Prague or nearby) if delivering to the exact address would require an extra day or so. However the most important is to arrange the overseas transport, which must be done by whoever in USA / SFO.
Can we make it?

And the package sent to WMPL was sent back due to customs problems, which in Poland are more tricky when the package is sent to organisation or company - no to the person.I don't know about other EU countries but it might be similar - starting from January 1st 2011 in order to receive package from customs a company or institution needs to have EORI number (http://ec.europa.eu/taxation_customs/dds/eorihome_en.htm) - in Poland it takes around 2 weeks to get it. In our package there was also missing a "letter of origin" without which it is impossible to go through customs. I think for future actions of this kind it will be better if one of EU chapters prints and sends promotional materials to other EU chapters...

This is definitely way so wise and helpful idea!
Also usual delivery time could be written there, customs requirements and so on, local delivery companies (does FedEx/UPS/... branch exist in such country?) etc...
And aside of this, also money transfer possibilities could/should be written somewhere. Eg. to the Czech Republic, there are about 8 different ways of wire transfer, which varies on fees and other conditions.

The EORI is often just your VATIN. Anyway, this is exactly what forwarding agents are supposed to take care of...

Just FYI - we also have quite a bit of the information about challenges for global logistics here at WMF, and it seems like we're in a good position to post some of our information soon.
But the real success factor in global shipping is based on how much a -recipient- in a country knows about potential issues accepting shipments from a variety of places in the world. This isn't something that most of us think about in our day to day lives. It's similar to understanding how someone from another country can call you on the telephone - we're more focussed on how to call others than how to be called by someone else.
That being said, it's absolutely valuable for all of the chapters and global representatives to develop a local knowledge base about the potential problems and work-arounds for receiving goods and materials in your own country. If each representative/chapter takes the time to do this, coupled with the Foundation's own information and learnings, then we're in a very good position to streamline shipping and mailings in the future.

Yeah, but for instance I know you know more than I do about mailing in Europe because I have no idea what either the EORI or the VATIN is in the first place :) At least if we can document the types of stuff that is required or even document that it is uncertain because there are new security rules, people will know to be careful and maybe resort to a forwarding agent if necessary!

I really doubt that there is a payable delivery service that can work that fast. You might want to consider printing something as a replacement yourself in a local shop - probably the waiting times are much less!
