Hi all,
The board was of the opinion that we should be posting the board minutes as well as other important discussions on a google doc which will be created so as to protect those who have access to the information. This is also because there are many who have subscribed to the mailing list that are passive members. Alternatively, I can use the Meta to post the board minutes as Abbas had suggested. Please comment on this so that we can know the way forward.
Regards
IMy thoughts: I'd go with posting minutes on wikimedia.or.ke as well (regardless whether we do it on meta or not)

i don't think minutes shuld be posted on the website as alex is suggesting.what shuld be posted there are the projects we are doing and other general staff.minutes are internal to us.using a meta would be better.

Hi Ann, dear board,
I wonder why you don't publish that information on the Wikimedia Kenya wiki? That's your website, it's a wiki (hence easy to update / publish) and it's the central place where everybody looks at.
If you need a private place - both WMAT and WMCH have and need that - you can have a seperate board wiki there which we can interconnect with the public wiki. That way you only need one useraccount for both and only sign in once, you can also use the uploads from the public wiki in the private wiki as well. The access is seperated by usergroups which you can manage on your own.
I definitely discourage to post official information on Google Docs for various reasons. It is a great tool to work short term on a specific content but once it is ready it should be copied to an official place.
* not everyone has a Google account and forcing people to get one is contrary to transparency * it is very hard to find the content. you need to post links somewhere at a central site anyway, so you can directly post the content there and avoid the other problems. * Google Docs is free, however you never know for how long nor do you have a guarantee the contents you posted there will be there tomorrow. * I would not want to provide Google (or any other business) private information about my organisation, just as a principle.
Just build a structure for your content on your wiki - at WMAT for instance we have made an "Archive" page which is used as a list (divided by years) of subpage links where we have all information for our members - reports, board resolutions, contracts: * http://mitglieder.wikimedia.at/Archiv
Of course there are many other good ways to deal with that, I just wanted to give you an idea.
If you need a board wiki please contact me.

I think that what we should keep in mind is that Wikimedia's core values is transparency and openness. WMF's Board Minutes are usually publicly available: http://wikimediafoundation.org/wiki/Meetings and the Resolutions that are made even show what each Board Member voted for: http://wikimediafoundation.org/wiki/Resolution:Fundraising_2012. I think that this is quite important for us (as members) to know since 1) It improves the accountability of Board Members and 2)Knowing what each Board Member voted for what is crucial for me. Since if a Board Member wants to be re-elected, I would (personally as a voting member) want to know whether his actions -- or inactions -- were in the best interest of the Chapter. Abbas.
Thanks Manuel for your suggestions! Dear board members, I strongly support the idea to post the minutes to our WMKE website. If you need a private space for board members only, by all means have that set up on WMKE as well. As Manuel wrote, you don't want to give other orgs access to WMKE insider information (esp. not as we have our own website anyway!). Fwiw, na kazi njema! Oliver (aka BT)

Hi members, am also in support of the board posting minutes on the WMKE site ,the issue of restricting access of whatever was discussed & voted is kinda, for lack of a better word, retrogressive .The so called passive members ought to be encouraged to participate in future projects not locked out of the on goings ,To the board >>> i think you stand to gain my confidence as a "voting member" more if you embrace transparency & accountability ,

Our resolutions/discussions will definitely be public. One of the questions Ann had for the list was the best place to post the minutes. And from the looks of it, wikimedia.or.ke is what guys are going for. Grace, Meta is also public so in terms of privacy, there's no difference between that and our website.
I'll linkup with Ann who'll publish the minutes on our site.
The Google docs page Ann's talking about is more of a draft of what we'll publish, more or so the same with what was documented on the meeting's etherpad.
