Hi all --
Starting this month, WMF will be shifting its organization-wide
reports from a monthly to a quarterly cadence. This reflects our
growth as an organization, and is intended to make important
developments more visible internally and externally.
== Background ==
Shortly after Sue became WMF’s Executive Director, she started giving
updates to the Board of Trustees about her work. These reports were
compiled for accountability purposes, and not without some
trepidation, Sue started sharing them publicly in January 2008. [1]
The reports have grown in scope and depth alongside the organization.
Where we think we can do better is in the following areas:
- We've not defined the threshold for report-worthy work clearly
enough, so work that represents a few person hours’ effort could get
more space than a whole team’s work over the course of the quarter;
- We've not consistently mapped reporting against organizational priorities;
- We’re not presenting a strategic view on what we’re learning, where
we’re changing direction and why;
- We’re not helping users of the reports consistently discover
quarterly review minutes, slides and other materials related to a
specific area, in part due to the reports not being aligned with the
quarterly rhythm.
In addition, given the dependency on an increasing multitude of inputs
(from across an organization that had fewer than 20 staff when these
monthly reports were launched, and now has more than 200), the reports
have increasingly gotten backlogged, to the point that we’re just now
releasing the August report.
At the same time, under Lila the organization has shifted into a
recognizable quarterly rhythm. Priorities are defined quarterly, and
reviews are being introduced following the end of each quarter for all
significantly staffed projects.
== A New Reporting Process ==
It’s come time for us to revisit the model we use for reporting, to
clearly define the purpose/audience for these report, and to iterate
on the monthly format.
Purpose: The purpose of this report is accountability and learning
within the movement. The report is not a storytelling tool. Any
evaluation will be done with these objectives in mind.
Audience: Its audience is chiefly internal, including community
members, WMF staff, and interested donors/funders.
Format: Effective immediately, we are shifting to a quarterly
reporting format. This will impact our reporting, and the October
through December reporting period, in the following ways:
- Instead of three monthly reports for October, November, and
December, we will publish our first quarterly report in February 2015.
- We are reviewing the key organization-wide metrics and will improve
the selection and presentation of numbers at the top level of the
quarterly report.
- We will closely align quarterly reports with quarterly reviews, and
re-use high level findings from the quarterly reviews, while referring
to the slide decks and minutes from the reviews for details.
- We will aim to provide high-level synthesis and lessons learned, as
well as strategy updates, through this format as well.
Many of the more granular updates in the monthly report will no longer
be reported.
As above, the deadline for publication of the first report, covering
October 1 - December 31, is February 15. For this first report, we are
being conservative with regard to the deadline, as we will have our
resources directed at our staff all-hands and developer summit in
January.
Tilman and I will begin creating a draft structure for this new report
in coming weeks, and will do so in public from the get-go. We will
also rethink the “Wikimedia Highlights” alongside other multilingual
movements news formats, likely detaching them from reporting
functions.
Out of scope of this effort for now:
- Providing more timely updates on initiatives with high user impact.
We’re continuing to provide updates to Tech News [2] and similar
newsletters, but we’re not currently doing a major overhaul here.
- Replacing the monthly engineering report and its inputs, which also
serve as a project status dashboard. [3]
We are of course discussing how to improve on those mechanisms, and
feedback is welcome.

Wikipedia Monument unveiled in Poland
- *Monument in Słubice, Poland honors free knowledge and human
collaboration*
Wikimedians -- the editors, creators, and contributors behind the free
encyclopedia Wikipedia -- were honored today with the unveiling of a
monument in Słubice, Poland. The monument, which is the first of its kind,
is a celebration of the power of free knowledge and human collaboration.
The monument, designed by Armenian sculptor Mihran Hakobyan, depicts the
Wikipedia globe held aloft by four figures. As in the original, the
Wikipedia globe remains unfinished, as a testament to the ever-expanding
realm of human knowledge. The idea to create a monument came from Dr.
Krzysztof Wojciechowski, the director of Collegium Polonicum, and was
brought to fruition through the support of Tomasz Ciszewicz, the mayor of
Słubice.
"On behalf of the Wikimedia Foundation, thank you for this remarkable
recognition. We hope this will be an enduring reminder of the importance of
free knowledge. It is humbling for all of us to be a part of something so
much larger than any one person." said Lila Tretikov, Executive Director,
Wikimedia Foundation.
Wikipedia is the largest collection of free knowledge ever assembled,
including more than 33 million articles in 287 languages. Together,
Wikipedia and the other Wikimedia projects are the world’s 5th most visited
website, with nearly half a billion monthly visitors and roughly 80,000
active volunteers contributing every month.
“When Wikipedia started back in 2001 I have to say that I never imagined a
day when Wikipedia would be honored with a monument - we write about them,
we photograph them with our Wiki Loves Monuments competition, and now we
have a monument of our own. It is a truly special and exciting day, and one
that I hope shines the spotlight on the thousands of Wikimedians who edit
Wikipedia and make it the source of free knowledge it has come to be. I
look forward to visiting Słubice one day to see the monument for myself and
perhaps meeting some of those involved in the project.” said Jimmy Wales,

Guests attending the unveiling ceremony included representatives of
Wikimedia Poland, Wikimedia Deutschland, and the Wikimedia Foundation, the
non-profit organization that operates Wikipedia.

Organizations that plan to apply for funding in Round 2 of the Annual Plan
Grants / FDC process should submit their Letters of Intent by 1 November.
This is the essential first step in creating a proposal. Proposal forms for
Round 2 will be due by 1 April and Round 2 grants will begin 1 July.

Only organizations that submit a Letter of Intent by 1 November can be part
of the process to become eligible for 2014-2015 Round 2 (proposal forms due
1 April, grants begin 1 July), so if your organization might want to apply
for funding in that round you should submit a Letter of Intent. This is an
important first step in the Annual Plan Grants process that allows
applicants to work closely with the FDC and with FDC staff before proposals
are submitted. In each Letter of Intent, the organization should state that
it would like to apply for funding in the upcoming round, and offer an
estimate of the amount of funding to be requested. This statement of intent
and the amount are both non-binding, so the organization can choose not to
participate in the Annual Plan Grants process or to change the amount
requested at any time before proposal forms are submitted.

===50 hours of art in Wikipedia: the Museo Soumaya editathon===
Between September 26 and 28, we literally lived in Museo Soumaya of Mexico
City during a 50-hour editathon, surpassing the mark of 35 hours
established by Amical Wikimedia in 2012. With the full support of the
museum, we finished this great challenge achieving 64 new articles in
Spanish Wikipedia and more in English, Catalan and Hebrew with editors
outside Mexico City, in Uruguay, Venezuela and Israel. There were also
editors who came from the States of Puebla, Jalisco and Aguascalientes just
to be part of this wondrous occasion.
Museo Soumaya made a great effort as well: they developed a logistics plan
that included the active participation of researchers, investigators and
museum curators, offered unique support for the wikipedists' stay,
established a small temporary library with references, created a complete
program of cultural contents (including guided visits to the museum and its
thematically divided halls), visits to the Inbursa Aquarium and UNOtv
studios, and provided hot meals and beverages during the 50 hours of the
event on top of it all.
The event began with the presentation of the new museum website, presented
by Alfonso Miranda, head of Museo Soumaya, and followed by a special
message of opening by Lila Tretikov, executive director of Wikimedia
Foundation. "We are so proud to partner with institutions like Museo
Soumaya as part of our ongoing relationships with the world’s leading
galleries, libraries, archives, and museums. I want to thank the organizers
of this event, the incredible team at Wikimedia Mexico. Your passion,
enthusiasm, and energy are unsurpassed. You inspire me with your creativity
and commitment", said Tretikov in her message.
We had special talks by Herminia Din, from the American Association of
Museums, and Liam Wyatt, currently GLAM coordinator at Europeana and
long-time GLAMmer.
At 10:01 PM Sunday 28th, everyone in the museum celebrated reaching 50
hours of continuous Wikipedia edits and we had a small cocktail
celebration, and the ceremony award from the Museum to the people who wrote
more articles.
The results of the activity are huge: 64 new articles in 5 languages, 1616
editions to the Wikimedia projects and 15 new and active registered users.
We hope to continue working with the museum in our shared mission of free
knowledge dissemination to the whole world, one art piece at a time.
===1985 Earthquake editathon===
On September 20th we perform the 1985 Earthquake editathon at Centro
Cultural Universitario Tlatelolco (CCUT) of UNAM. During some hours the
Wikimedia Mexico community edit about the main article of the 1985
Earthquake, one of the most relevant historical events in the recent Mexico
City history. In addition to the Wikipedia edition activities, the cultural
center recorded some stories from citizens who lived the events, due to an
open call made previously. The surrounding zone of Tlatelolco, where the
cultural center is settled, was one of the most damaged zones.
This event was inaugurated by Mr. Marco Rascón, interinstitutional
coordinator at Mexico City Culture Secretariat, and Eunice Hernández, Head
of Communications of the CUT. In his speech, Mr. Rascon highlighted the
importance of 1985 Earthquake in the Mexico City recent history and the
subsequent development of their democratic institutions. He was involved
actively in the social movements after the earthquake claiming houses for
the victims and the mind under the "real-life superhero", Superbarrio
Gómez. Rascon noted that free knowledge efforts help to expand the
available historical sources for the future generations with more scope and
accuracy.
For this editathon, the Wikimedia Mexico organizers worked previously for
at least 15 hours with hemerographical sources only available in libraries
and included now in the Spanish Wikipedia article. In this editathon we
worked to give more breadth and historical references to a single article,
unlike other events that we worked on several simultaneously. And the event
was not only an exercise of writing with more accuracy but as an exercise
of social gathering about an episode which remains in the Mexico City
habitants until today.
During the event we uploaded 116 historical photos from the next weeks
after the earthquake taken by Roberto Esquivel, an engineer recently
passed. His family been assisted to the editathon and received a diploma
from Wikimedia Mexico community. All the donated images are available now
in Wikimedia Commons.
