Your help would be more than welcome for that till now, no one had the time to take care of this point.
We discussed it a bit on irc yesterday after I informed Sj, Britty and others of your desire to help on this. Current situation is this one : we do not have yet the pdf of Quarto, for a couple of reasons. First, nobody yet took the time to make a pdf from each version, second, Kate mentionned that pdf was a proprietary format...and we cannot host it on meta...
There are three ways we can inform people * option 1 : either we send them an informative mail, with all relevant links to the place they can find Quarto when it is released * option 2 : or we send them a mail with the pdf attached * option 3 : or we send them a mail with a text version included
In options 2 and 3, editors will never come to the foundation site, which might be potentially interesting. In options 2 and 3, we absolutely need to know the language desired by the editor, and either an different list for each language, or a database tweak so that the right mail is sent depending on language preference. In option 2, the mail can be quite heavy, which not every box accept nor every editor likes. We also need someone to make the pdf In option 3, the mail is not very heavy, but we still need someone to prepare all texts
Hmmm, normally, we try to release versions in 10 languages...
In all cases * we need someone to set up at least one mailing list (with restriction in terms of who can send the mail or not) * we need someone to gather all emails addresses from interested people * we need someone to enter all these emails addresses in the list of recipiendaries * we need someone to admin the list * we need someone to set up the content of the mail
In option 1, the mail sent could consist in a short collection of paragraphs, announcing the Quarto, and offering appropriate links. Each paragraph in a different language. A neat html outline could be set up for this mail to look decent even though in 10 languages, and we could just have to change links and a couple of words each time we send a mail. That would be the most efficient way I think.
Yesterday discussion led us to think that we should first try to organise option 1 (general mail in 10 languages with links, to be sent to everyone). This would be a first step. The other options need more thought and discussion right now.

If you are still interested (I hope), you can register to quarto-l, or comment on meta. The person in charge of all mailing lists set up is user:Fire (see is meta account). Aphaia is the contact for all translation needs. Sj for ... in this case ... to help set up the content of the mail of course ! Who is a html wizard to make us a nice layout for the mail ?
Last comment : I would prefer that the list as a quite explicit but generalist name. I care little for the short name, but it would be nice it appears to readers as something like "Information from the Wikimedia Foundation", or something of the type. The idea is to make it possible if exceptional circonstances arise, to send a specific mail not directly related to Quarto if it is thought necessary.
What do you people think and suggest ?
