Dear Friends,

It was good to meet Nirmal, Nabin and Saroj on last Saturday at the Sangam Cafe in New Baneswhor. The meeting took more than we expected (around 3 hours) with a intense discussion. Unfortunately we could not come online there, so apologies to Krish and Mahalaxmi, who might be waiting for us to come online and work together in the meta page. We, however were having more focused discussion about the proposed re-allocation from the WLM and WLE rewarding program.

Here are my notes from the meeting in numbered order as per the topic. If other meeting participants have any new action item that I might have missed, could you kindly edit/add the same here. Also if I have mis-represented or mis-appropriate any information here, please correct me as well. Thanks for the correction in advance!

ACTION ITEM 1. As one of the decisions from our small (4 team members), Nabin and Saroj will share the proposed plan and budget they had prepared for re-allocation for WLM 2014 and WLE 2014 awarding ceremony with the community at-large through this mailing list. Once we receive a go-ahead signal, we will update the same information in the grant-re-allocation wiki meta page for final approval from the WMF. We are expecting it to accomplish this by the end of this weekend.

ACTION ITEM 2. Regarding the other topic that was raised for re-allocation in my previous email and I Quote Ganesh's email on Wed, Dec 24, 2014 at 9:43 AM "To my mind, we can have couple of outreach and outreach enabling meetings in some cities out the valley. I suggest to spend the unspent money in outreach activities." could not be discussed further in this meeting.  I hope, Ganesh will be able to share about this proposal in detail in the mailing list or next face-to-face meeting and meta-page for requesting re-allocation. Ganesh could you please take up this action item as we also need to get a approval from WMF to take up this activity if we intend to get support for the Wiki outreach activity out of Ktm valley.

ACTION ITEM 3. There was a third idea as well, which came up as update sharing from Ram Joshi and Ramesh Bhora's Kathmandu visit and some of us meeting with them face to face (please follow anther email thread for that call for meeting) in Jawalakhel on December 31, 2014. In that talk, Ram Joshi and Ramesh Bohara have volunteer to work for a small information sheet / brochure which will focus on enabling/teaching/guiding the mobile users as how they can add/edit/view the Nepali Wikipedia content from feature/smart mobile phone. Since NCell is currently supporting the Zero Wikipedia along with Free (free as in beer) Wikipedia access in Nepal, it could be a great guide for new /prospective Wikipedians in Nepal. Also if we can highlight some collaboration possibilities, I see a greater potential to reach out to a larger audience, who are primary accessing Internet via Mobile only. Nepal is a great user potential for this category of users. ->  Hence, I would like to propose this as one anther work that we can seek the re-allocation from the grant given to us by the WMF via this email itself.

Here it would be great, if we could initiate a vibrant discussion among the community members of Wikimedians of Nepal. If there are better proposal than the above three, please shoot now (pour in your ideas). Even, if there is some objection to these or any of these ideas, please raise it with the community public mailing list. I hope this open and transparent communication will help us to accomplish the mission and objective of the grant that was made by the WMF to Wikimedians of Nepal.

Let us all work together

Dear Nabin ji,

Sure, tomorrow Saturday will be fine with me. How are others placed for tomorrow. Can other working committee members also join us for the meeting?

If so, can we meet for an hour or two in the second half. Say after 1:30 PM. Any area in the ktm downtown (durbar marg or so) of the city would be great for me. If preferred we can have a meeting in my office in Putalisadak area as well. Do suggest about suitability and timing. If needed please call me or text me at my number 9851077031. Also, can you please share your contact number as well.

Hi All,

Thanks for the confirmation Hemal ji. With respect to the re-allocation of the grant budget for the aforementioned two initiatives and others , I strongly support the idea to have a face-to-face meeting before writing up in meta page.

I would like to suggest coming Saturday afternoon for meet-up anywhere in Kathmandu.

Dear Alex and Team,

Thanks for clearing the confusion. So, now we can move ahead with planning for the final re-allocation for the above two initiatives. Nabin ji, Ganesh ji, can you please add the planned writeup in the re-allocation meta page for review and approval by the WMF.

Also, is there any other important activities that might we can conclude within the re-allocation budget? If so, please suggest.

Further, can we have a face-to-face meeting as well soon to final out the details for completion of the re-allocation. I would request confirm participation of At-least the Initiative lead and the working comittee team members for this meeting. Please suggest, what time, date and venue will be best suited for all.

Hi Hempal,

Sorry, I'm still not sure if the question is directed at me or your team?

Please note that I will be on vacation January 1-11th. If you would like me to review and approve a reallocation request before then, please post it on the discussion page of the grant. Otherwise, we can discuss it when I am back.

Cheers,

Alex

Dear Alex,

Thanks. Regarding confusion, I wanted to be clear along with the community beforehand for planning and implementing the award program.

As updated, the current status of the WLE 2014 and WLM 2014 competition is completed. We have already published the final 10 winners from both the competition.

And in this stage, I want to seek input in advance if there exist any inconsistency (if any) with the WMF grants re-allocation process for rewarding the winners who have already been selected and now being planned for their reward under this new re-allocation process? Just don't want that this question arises in the later stage of program implementation.

Dear Ganesh ji, Nabin ji, Alex,

Thanks for your both suggestion for possible re-allocation of the remaining funds from our last program on Wikipedia Expansion Program in Nepal.

1. Ganesh ji, Outreach activities to the other cities (outside of Kathmandu Valley) would be a good initiative. But for that we will need to have commitment of atleast 3-4 Nepali Wikipedians in advance for the Wiki Travel outside Kathmandu valley for the entire duration. Do we have tentative lead and team members who will be ready to travel to other cities for the Wiki-Travel?

2. Nabin ji, Awarding the Winners for WLE 2014 and WLM 2014 is indeed a good practice to continue with. As you remember the last year's WLM was coordinated by Saroj ji and Mahalaxam ji and the winners of WLM 2013 were also rewarded   (Source: https://commons.wikimedia.org/wiki/Commons:Wiki_Loves_Monuments_2013_in_Nepal) as per the budgeted reward amount incorporated in the expansion project in advance.

The current situation of both the WLE 2014 and WLM 2014 competition are completed and closed. The submission of photos by the users is over for both the competition in their due time.  Selection and declaration of the top 10 winning contributors for both WLE 2014 and WLM 2014 has also been made. Now, we are in the process of felicitating the winners of both the competition. And hence we are looking forward for possible re-allocation of the remaining funds for rewarding these winners.

Here, I have a little confusion about any constraints in the process (if any) regarding budgeting for the fund for rewarding the winners who are already selected and declared. Hence, I would seek more clarity and suggestion from Alex and fellow Wikipedians. Once we have more clarity on this constraints, we can confidently move ahead with rewarding the winners of WLE 2014 and WLM 2014 as we concluded for WLM 2013 winners.

Nabin ji, I have followed following links to verify above information, please correct me if there are some more information to add to it.
