Currently it seems like the meeting will be at 09:00 with the WLM launch at 16:00. I think that everything will be finished by around 17:00 or 18:00, maybe the rest of the team can
give some input? That will give you a good time frame to fly in the morning and then leave the same evening. How does that sound? It will be best if you can arrange it yourself, because my time is limited. We will then reimburse you afterwards. Please do keep all receipts, as we must submit them to the Wikimedia Foundation. Firstly thank you for your coordination and commitment. I was waiting to confirm my plans and I am available to attend the meeting. Would it be ok if I came in on the morning and if the meeting is not finishing late, then I can come back to Gauteng the same evening. If not I could do a night in CT. May you also let me know if I should arrange my travel and then you will reimburse or if you will arrange directly. I will have very limited to no Internet from this Saturday until the 27th August and need to confirm before I go.

I created a page on Meta (http://meta.wikimedia.org/wiki/Wikimedia_South_Africa/AGM1) that lists the potential attendees. We can now also start to brainstorm about exactly what we want to discuss at this meeting. Later today I will add a temporary agenda which we can then edit into the correct format. Please keep in mind, so far Dumisani and Mohau is the only members from Gauteng interested in attending. The WLM budget allows all the project organizers and WMZA board members to attend the event. Due to all the arrangements we still need to make, it will be best to set a deadline for this Saturday (18 August) to know exactly who is going to attend this meeting. That will be a week after the initial call, so please do respond before then so that we know what is going for what and can finalize arrangements. Thank you.
We should also set a deadline for the finalized agenda, because then the members that are not able to attend the meeting are able to cast votes using an electronic system. I propose that we set the agenda deadline for next Saturday (25 August), which will give those members another week to cast votes until the meeting itself. Feel free to propose other dates if you think necessary. Sometime this week I will start to work on such a system.
