Speaking of forms, I recommend making an effort to get as many people as possible to give you permission to send them e-mail with Wikimedia announcements.  It's early, sure, but it's an opportunity to get the attendees of the event to subscribe to any future announcements Wikimedians in Kenya may want to make.

Even before you set up a mailing list, you can capture basic information (name, affiliation [optional, of course], e-mail, phone [optional], comments) with an online form (e.g. using Google Docs' "Form" feature; see an example I used for the DevNations list (even before it existed) here -- https://spreadsheets0.google.com/viewform?hl=en&formkey=dE1KYTFxeWtwWTdiLWV1VElBeEtIRkE6MQ#gid=0 ).

Abbas, as for jkuat[main campus], we go on our long holiday from mid december till late april. It's going to be a challenge getting an audience since 80%, if not more, of the school is at home.
