The 'Kolkata Book Fair' has been organized by the 'Publishers & Booksellers Guild' is one of the most prestigious and active cultural event in India for last thirty five years. It is the world's largest non-trade book fair, Asia's largest book fair and the most attended book fair in the world. Other than books it houses television, radio and other multimedia companies as well.
I think that, the presence of Wikipedia in physically to the coming 'Kolkata Book Fair 2012' will be a most valuable way to reach a very large number of well learned persons to increase it's user growth.
It is learned from a verbal reliable source that in 2010 the stall charge was about Rs. 500/- per squire feet. The minimum space allotted of 100 sqft. Apart from the fair space there will be other costs (viz. decorations, lights, projector & computers with mobile broadband etc) involved to have the exhibition successfully.
I propose for consideration to make a twelve day show to the 'Wikimedia India Chapter' for the exhibition. The detail of the guild is placed below:

The last date for application from domestic participants was 31st August 2011. However, the last date of application for international participants is 9th December 2011. 1) On-spot *India Chapter membership* for visitors if they wish. 2) Distribute Chapter Brochures, Welcome to Wikipedia Brochure. 3) Distribute Bengali Wikipedia Brochures. 4) Need 3/4 dedicated volunteers for 12 days 1PM-8PM 5) Contiguous running videos regarding Wikipedia ( Jimmy speech, Wikimania/WCI event images, and many more) 6) Display all banner and etc 7) Need one hired staff for collecting Cash and etc and work for India Chapter membership. ( if possible) 8) Short Quiz contest for visitors. 9) Q&A for visitor (Need 3/4 dedicated volunteers for 12 days 1PM-8PM)

Hey,
I believe that it will be a very good event. In Bangladesh we are participating in our Ekushe Book Fair (biggest book fair arranged in Dhaka) for the last 6years. We got very positive response there and got some wikipedians who are very active in Bengali Wikipedia now.
Another thing is, on the weekend more people will visit the book fair, so some volunteers can stand with a banner and some leaflet of Wikipedia near the fair gate. We have experienced that it attracts more people and many of them ask the volunteers to know more about the wikipedia.

I feel its a way to kill two birds with one stone. Not only do you get to reach the educated chunk of Bengalis, who might be interested in editing in English Wikipedia, but you will also get the major chunk of people who might be very much interested in preserving the Bengali Heritage by contributing to the Bengali Wikipedia. I mean, what better tool and what Better venue than the celebration of one of the oldest cultural celebrations.
Positive point will be, that there will be a huge number of students also both from Bengali medium and English medium. The pitch of being able to incorporate a Wikipedia article into their resume might be enthralling to them. I seriously believe that this is possibly the biggest outreach possible in terms of the Eastern and North-Eastern region for the coming year at least.
And yes, even in the course of the IEP, stickers and badges tend to have positive effects as seen by me in my role as an Ambassador which Nitika mentioned (thanks for the support Nitika, by the way!).
The proposal of holding the Wikipedia stall at the ‘Kolkata Book Fair 2012’ responded very well. To see the situation I went it’s office at 2B Jhamapukur lane, Kolkata - 9. I had a meeting this evening, with Tapash Babu who is the office-in-charge of the Publishers & Booksellers Guild. Although the last date of application (31st August 2011) is over but he advised to submit a physical application over the organization’s letterhead by coming week with the following details: 1. Name and address2. Required space in Sq mt3. Space allotted in last two years4. Copy of the trade licence/registration5. Purpose of the stall 6. Undertaking to abide by the rules and regulations set by the guild7. Any other informations I saw they (three/four persons) were busy with a huge number of applications. Mr. Tapas explained that, after getting the application they will call the party for a negotiation of the price of the space! He expects the price of a 9 (minimum) sq mt space may go to Rs. 50,000 to 60,000/- this year. As the types of our organisation the Wikipedia goes in IT category. They will provide only the space noting else! I am working with a tentative budget, meanwhile any body make the same, please respond. Regards. We need the sound system to assist the promotional videos that we would run on the TV as well as promotional events like spot edit/quiz contests. The promotional videos could either be extracts from Jimmy's inspiring speeches, clips from Wiki Conference India or small video tutorials on how to make the first edit. We can also hold spot edit contests, where a random person is selected from the crowd to make an edit. If that is a fair edit, we hand him/her a prize. We can also hold spot quiz contests, where the correct answer gets the prize. The prize could be a T shirt. In order to organize such promotional events, we need a sound system.
I also think, we need internet connection or data card whichever is applicable.
For promotional purposes we can also think of stickers and/or paper caps (sun guards) with Wikipedia logo. We can also sell the surplus T shirts from the Wiki Conference India programme or other merchandise if any.

I'd also suggest the following modifications / additions
a) Can we speak to the organisers and see if they can get this at a discounted rate - given WMF is a non-profit and the mission of WMF? b) A really important part of the event is the benefits it will provide to the Wikimedia community / movement. In Mumbai, we had informal discussions on what all could be done. These included whether there could be 2 separate elements - one which would be basic introductory outreach (What is Wikipedia? Did you know there is an Bengali Wikipedia? How does Wikipedia content get on Wikipedia? Did you know you can edit? Would you like to edit? Why should you edit? How can you edit?) and a series of editing workshops for those interested in taking things forward. These workshops could be run in both Bengali and English. Can we also flesh out the details of how the event will actually be conducted? What will happen in what part of the stall? Will there be a section on introductory outreach and one for introductory editing? How many sessions will be conducted? What equipment (chairs, projector, laptop, internet, etc. will be required? Who will conduct which sessions? How will these sessions be scheduled? What will happen in these sessions? How will they be conducted? How many people can attend? Is there any material that will be required (e.g., presentation material, brochures, etc.) How will we stay in touch in with folks who come and attend either basic outreach sessions or basic introductory workshops?
Do let me know any assistance you need. I'd be more than happy to help out.
Would also be nice to discuss some of these things over a g+ / skype / phone call?

Completely support the idea. The book fair seems a very good idea to reach out to those who might be interested to edit English or Bengali Wikipedia.
I was going through some of the best practices in setting up a Wikipedia booth & I learnt that using eye-catchers is one of the successful ways to attract attention of the attendees. Maybe we could use this idea too: http://meta.wikimedia.org/wiki/Use_eye-catchers_to_attract_attention.

Please allow me to reply to your queries one by one.
Firstly, yes, we are thinking along the lines of having two separate programmes - one for the outreach and other for the editing. However, we have to keep in mind that we would be getting only 9 square meters space. We'll not have the comfort of serene indoors like we had in Mumbai, or what we have at our workshops in Kolkata. Invariably, there would be some noise. In my view, it would be rather difficult to conduct our usual sessions with projectors and slides. Its would be somewhat awkward to arrange 20 odd chairs and a projector and expect an audience to build up for a session. Rather we should have as much navigable space as possible for the visitors.
I believe we need to adapt ourselves to suit the environment. For our outreach programme, we'll have small video clips in the TV explaining what Wikipedia is all about. I believe we already have such videos on the YouTube. We'll show clips from Wiki Conference at Mumbai and clips from Jimmy's speeches. We'll host a photo gallery on a portion of a wall. We'll hand every person who visits the stall, an introductory leaflet on Wikipedia and a Wikipedia sticker. We'll have a volunteer who can always explain the basic outreach stuff about Wikipedia to inquisitive visitors.
As it would be difficult to hold workshops per se, for the editing programme too, we'll show video clips explaining how to make an edit and encourage the crowd to make instant edits. We'll have a couple of laptops ready for them to use and a volunteer who would be there to help them out. Anybody who makes a successful edit would be rewarded with a small token incentive. It would help to draw the crowd, especially youngsters from schools and colleges.
We'll require the following equipments. 1. Laptops - 2 nos. 2. 44" LCD/Plasma TV 3. Sound system 4. Internet connection (Wi-Fi / Data card) 5. Furniture for a counter + 4 chairs
One sure way to get in touch with the visitors is to arrange a lucky draw and ask them to fill up a small form with contact info and drop it in a box. Additionally we can offer spot memberships, accept donations or ask them to sign up a guestbook. Our basic leaflet for outreach shall have our contact information, both national and local contacts and details of our next workshop in Kolkata.
Lastly, I feel that we should also try to sell some of our merchandise, which could be T shirts, promotional DVDs etc.

In Mumbai, we had informal discussions on what all could be done. These included whether there could be 2 separate elements - one which would be basic introductory outreach (What is Wikipedia? Did you know there is an Bengali Wikipedia? How does Wikipedia content get on Wikipedia? Did you know you can edit? Would you like to edit? Why should you edit? How can you edit?) and a series of editing workshops for those interested in taking things forward. These workshops could be run in both Bengali and English. Can we also flesh out the details of how the event will actually be conducted? What will happen in what part of the stall? Will there be a section on introductory outreach and one for introductory editing? How many sessions will be conducted? What equipment (chairs, projector, laptop, internet, etc. will be required? Who will conduct which sessions? How will these sessions be scheduled? What will happen in these sessions? How will they be conducted? How many people can attend? Is there any material that will be required (e.g., presentation material, brochures, etc.) How will we stay in touch in with folks who come and attend either basic outreach sessions or basic introductory workshops?

We'll have a couple of laptops ready for them to use and a volunteer who would be there to help them out. Anybody who makes a successful edit would be rewarded with a small token incentive. It would help to draw the crowd, especially youngsters from schools and colleges.
We'll require the following equipments.
- Laptops - 2 nos.
- 44" LCD/Plasma TV
- Sound system
- Internet connection (Wi-Fi / Data card)
- Furniture for a counter + 4 chairs
One sure way to get in touch with the visitors is to arrange a lucky draw and ask them to fill up a small form with contact info and drop it in a box. Additionally we can offer spot memberships, accept donations or ask them to sign up a guestbook. Our basic leaflet for outreach shall have our contact information, both national and local contacts and details of our next workshop in Kolkata.
Lastly, I feel that we should also try to sell some of our merchandise, which could be T shirts, promotional DVDs etc.

This is to inform you that as no communication has been received from the ‘Publisher’s and Book-seller’s Guild’, Kolkata, regarding the proposed ‘Wikipedia Stall’ for the ‘Kolkata Book Fair 2012’, I went to the Guild office today evening to know the status of stall distribution.
I met Mr. Ramen Guha, senior member, the Guild, I told our activities and purpose for the stall, and he says that in this fair about 70 to 80 stalls will be reduced this year as Mr. Jogen Chowdhury, the official planner of ‘Kolkata Book Fair 2012’ planned the layout and in this limited space, it is not possible to accommodate our stall as he termed us as ‘late applicant’.
I again explained the non-commercial, social usefulness, voluntary participation etc. then he replied that they can accommodate only against Rs. 2,00,000/- (Rupees Two Lakhs) only for 100 sq. m of stall space.
I took time from him and he asked us to keep touch with them.

This is to inform you that as no communication has been received from the ‘Publisher’s and Book-seller’s Guild’, Kolkata, regarding the proposed ‘Wikipedia Stall’ for the ‘Kolkata Book Fair 2012’, I went to the Guild office today evening to know the status of stall distribution.
I met Mr. Ramen Guha, senior member, the Guild, I told our activities and purpose for the stall, and he says that in this fair about 70 to 80 stalls will be reduced this year as Mr. Jogen Chowdhury, the official planner of ‘Kolkata Book Fair 2012’ planned the layout and in this limited space, it is not possible to accommodate our stall as he termed us as ‘late applicant’.
I again explained the non-commercial, social usefulness, voluntary participation etc. then he replied that they can accommodate only against Rs. 2,00,000/- (Rupees Two Lakhs) only for 100 sq. m of stall space.
I took time from him and he asked us to keep touch with them.

visitors.
As it would be difficult to hold workshops per se, for the editing programme too, we'll show video clips explaining how to make an edit
and
encourage the crowd to make instant edits. We'll have a couple of
laptops
ready for them to use and a volunteer who would be there to help
them
out.
Anybody who makes a successful edit would be rewarded with a small
token
incentive. It would help to draw the crowd, especially youngsters
from
schools and colleges.
We'll require the following equipments.
- Laptops - 2 nos.
- 44" LCD/Plasma TV
- Sound system
- Internet connection (Wi-Fi / Data card)
- Furniture for a counter + 4 chairs
One sure way to get in touch with the visitors is to arrange a lucky
draw
and ask them to fill up a small form with contact info and drop it
in a
box. Additionally we can offer spot memberships, accept donations or
ask
them to sign up a guestbook. Our basic leaflet for outreach shall
have
our
contact information, both national and local contacts and details of
our
next workshop in Kolkata.
Lastly, I feel that we should also try to sell some of our
merchandise,
which could be T shirts, promotional DVDs etc.

hand every person who visits the stall, an introductory leaflet on Wikipedia and a Wikipedia sticker. We'll have a volunteer who can
always
explain the basic outreach stuff about Wikipedia to inquisitive
visitors.
As it would be difficult to hold workshops per se, for the editing programme too, we'll show video clips explaining how to make an
edit
and
encourage the crowd to make instant edits. We'll have a couple of
laptops
ready for them to use and a volunteer who would be there to help
them
out.
Anybody who makes a successful edit would be rewarded with a small
token
incentive. It would help to draw the crowd, especially youngsters
from
schools and colleges.
We'll require the following equipments.
- Laptops - 2 nos.
- 44" LCD/Plasma TV
- Sound system
- Internet connection (Wi-Fi / Data card)
- Furniture for a counter + 4 chairs
One sure way to get in touch with the visitors is to arrange a
lucky
draw
and ask them to fill up a small form with contact info and drop it
in a
box. Additionally we can offer spot memberships, accept donations
or
ask
them to sign up a guestbook. Our basic leaflet for outreach shall
have
our
contact information, both national and local contacts and details
of
our
next workshop in Kolkata.
Lastly, I feel that we should also try to sell some of our
merchandise,
which could be T shirts, promotional DVDs etc.

Biswarupda and myself went to GUILD office regarding our stall allocation at Book fair, but they still not not confirming our stall. We met Mr. Ramen Guha, senior member, the Guild and he was requested to comes in after 15th Jan for Stall distribution.
So there are some red-tape for stall booking with GUILD, the organizer. We are still finding some way out to get our Wikipedia stall. But they have demand unacceptable amount Rs 2,00,000 ($ 4000) for our stall. We submitted one letter in Bengali for concession for our Stall to GUILD (PFA).
Our community fell that we are shootout this matter during this time frame. We are trying to contact our local IT Minister, Govt of West Bengal, Mr. Partha Chatterjee, to resolve this issue smoothly.

Yesterday, I and Jayanta, went to the Guild office as they told to phone or meet for the availability of stall. Nitika wanted to go there but the time for the meeting was mismatched with her flight schedule.
No development has been come out from our meeting. They still asking for money Rs. 2 or 4 Lakhs for a stall as they asked at the first meeting with me. Even there is no other option like sharing a stall, IT pavilion etc.

As mention Biswarup da, They demanded initially 2 lakh, yesterday they have demanded 4 lakh. Even Mr Ramen Guha said that If we give them recommendation from Chief minister's letter, they could not give us one stall.

We would like to inform you with the deepest regret that we have considered calling off our plans to set up a Wikipedia stall at the Kolkata Book Fair 2012.
Even though it was a late initiative on our part considering the enormity of the KBF, we had put the extra effort in pursuing matters with the organizers. However, as reported before in this thread, negotiations with the organizers regarding the stall booking failed to reach any suitable conclusion. The amount of 2 lakhs for the space itself not only exceeds our overall budget for the programme, it is too large a sum to be considered for an investment into an outreach programme, the return from which may not be tangible in the near future. Finally, the organizers did let us know that they won't be able to provide any space even if we have a recommendation from the Chief Minister. And with the inauguration barely less that week away, we are left with no other option to explore from our end.
We thank everybody for their support, especially Hisham and Nitika, the India chapter and the WMF. We are hopeful of overcoming the disappointment and prepare early for KBF 2013, while we continue with our other activities in Kolkata.
