Please allow me to reply to your queries one by one.
Firstly, yes, we are thinking along the lines of having two separate programmes - one for the outreach and other for the editing. However, we have to keep in mind that we would be getting only 9 square meters space. We'll not have the comfort of serene indoors like we had in Mumbai, or what we have at our workshops in Kolkata. Invariably, there would be some noise. In my view, it would be rather difficult to conduct our usual sessions with projectors and slides. Its would be somewhat awkward to arrange 20 odd chairs and a projector and expect an audience to build up for a session. Rather we should have as much navigable space as possible for the visitors.
I believe we need to adapt ourselves to suit the environment. For our outreach programme, we'll have small video clips in the TV explaining what Wikipedia is all about. I believe we already have such videos on the YouTube. We'll show clips from Wiki Conference at Mumbai and clips from Jimmy's speeches. We'll host a photo gallery on a portion of a wall. We'll hand every person who visits the stall, an introductory leaflet on Wikipedia and a Wikipedia sticker. We'll have a volunteer who can always explain the basic outreach stuff about Wikipedia to inquisitive visitors.
As it would be difficult to hold workshops per se, for the editing programme too, we'll show video clips explaining how to make an edit and encourage the crowd to make instant edits. We'll have a couple of laptops ready for them to use and a volunteer who would be there to help them out. Anybody who makes a successful edit would be rewarded with a small token incentive. It would help to draw the crowd, especially youngsters from schools and colleges.
We'll require the following equipments. 1. Laptops - 2 nos. 2. 44" LCD/Plasma TV 3. Sound system 4. Internet connection (Wi-Fi / Data card) 5. Furniture for a counter + 4 chairs
One sure way to get in touch with the visitors is to arrange a lucky draw and ask them to fill up a small form with contact info and drop it in a box. Additionally we can offer spot memberships, accept donations or ask them to sign up a guestbook. Our basic leaflet for outreach shall have our contact information, both national and local contacts and details of our next workshop in Kolkata.
Lastly, I feel that we should also try to sell some of our merchandise, which could be T shirts, promotional DVDs etc.

I'd also suggest the following modifications / additions
a) Can we speak to the organisers and see if they can get this at a discounted rate - given WMF is a non-profit and the mission of WMF? b) A really important part of the event is the benefits it will provide to the Wikimedia community / movement. In Mumbai, we had informal discussions on what all could be done. These included whether there could be 2 separate elements - one which would be basic introductory outreach (What is Wikipedia? Did you know there is an Bengali Wikipedia? How does Wikipedia content get on Wikipedia? Did you know you can edit? Would you like to edit? Why should you edit? How can you edit?) and a series of editing workshops for those interested in taking things forward. These workshops could be run in both Bengali and English. Can we also flesh out the details of how the event will actually be conducted? What will happen in what part of the stall? Will there be a section on introductory outreach and one for introductory editing? How many sessions will be conducted? What equipment (chairs, projector, laptop, internet, etc. will be required? Who will conduct which sessions? How will these sessions be scheduled? What will happen in these sessions? How will they be conducted? How many people can attend? Is there any material that will be required (e.g., presentation material, brochures, etc.) How will we stay in touch in with folks who come and attend either basic outreach sessions or basic introductory workshops?
