Maybe for a next time: if you are collecting only info for statistics, it might be more helpful to ask as little information are you really want. If it is only for volunteer representation planning, then arrival time&date would have been sufficient, and the flight number wasn't necessary. By asking more information, you gave the impression that if anything would go wrong, you would proactively help. I understand of course this is nearly impossible, but well :)

It's totally legit (it's supposed to go out from our OTRS address..).

The sole purpose is to collect statistics on when people are arriving into Israel, so we can plan our volunteer representation at the arrival hall at Ben Gurion airport.

It's not meant to solve specific problems people might have with clearing border control (or customs or anything like that).

And it's totally optional, not mandatory.
