Thank you for your email and for sharing the detailed documentation on the upcoming CampaignEvents extension.
As an organiser for Wiki Loves Earth (WLE), I have reviewed the materials from the perspective of running a large-scale photography competition on Wikimedia Commons. While the potential is clear, I have several queries about how the tools will function in a Commons-centric environment, which often has different needs from article-based campaigns on Wikipedia. I hope you can help clarify a few points.
*Concerning the Invitation List Tool*
The documentation states that the tool identifies potential participants by analysing their contributions to a specific list of articles (based on bytes contributed, edit counts, etc.). This seems very well-suited for edit-a-thons. However, for a competition like WLE, our core activity is file uploads, not article editing.
*My question is:* How can this tool be adapted for photography contests on Commons? For instance, is it possible to generate a list of users based on criteria such as the number of photos uploaded to specific categories, or those who have previously participated in photography-related WikiProjects and competitions? Without this, I fear the tool may not be effective for our primary use case.
The documentation also mentions "recency" as a factor. Could you clarify how this is weighted? Can we, for example, filter out (or in) users who have been inactive for over a year to ensure we are reaching out to a currently engaged community?
*Concerning the Event Registration Tool*
This tool addresses many challenges, but I have several questions about its configuration and workflow, particularly regarding prize distribution and legal requirements for a contest.
*Participant Data for Prizes: *Our most critical need is to collect a participant's email address and their country of residence for prize-giving. The documentation mentions that organisers can collect optional demographic data (gender, age, profession, etc.) after agreeing to a data handling agreement. However, it does not specify whether email and country can be made mandatory fields for registration. How can we ensure the collection of this essential information? Or
*Contest Regulations and Consent:* A fundamental requirement for any competition is that participants must agree to the official rules. I could not see any mention of a feature that allows organisers to display the contest regulations and require participants to actively check a box to confirm they have read and agreed to the terms before completing their registration. Is such functionality planned?
*Event Themes and Topics*: My initial concern was about the pre-set themes being Wikipedia-focused. However, I see in the Collaboration List documentation that a "search by topic" feature was added in January 2025. Could you clarify if organisers on Commons will be able to define their custom topics (e.g., "cultural heritage," "natural landscapes," "biodiversity") for their events to make them discoverable? Having war and military, and not having heritage, Human Rights,... is a big red flag.
Furthermore, the tool includes functionality to "send emails to registered participants." Can you provide more details on this feature? For instance, does it support HTML templates, or is it plain text only? Will organisers receive a real-time notification for each new registration, or at least a summary digest? Can we hide the number of registered contesters from the public?
My questions are intended to help us understand how we can best prepare for their adoption and ensure they meet the specific needs of major campaigns on Wikimedia Commons. Thank you again for your work and for inviting feedback. I look forward to your response.

Please note the extension comes with a new user right https://commons.wikimedia.org/wiki/Commons:Event_organizers#Seeking_the_rights on Commons. You will need to have this right to use Event Registration and Invitation List.
Regarding Invitation List, please be aware that this feature will not be as useful to Wikimedia Commons in its current form. However, this feature was made available so people can try it out and give suggestions to the team on how to improve it, especially for Commons.

We have some good news for you! As potential interested stakeholders, we would like to share with you that the Connection Product team https://meta.wikimedia.org/wiki/Special:MyLanguage/Campaigns/Foundation_Product_Team at the Wikimedia Foundation is enabling the CampaignEvents extension https://www.mediawiki.org/wiki/Help:Extension:CampaignEvents on Wikimedia Commons by the week of September 15th.
This extension is designed to simplify the management of community events, projects, and campaigns, such as yours! In addition to facilitating the discovery and participation of all contributors in these events. Once it's enabled on Wikimedia Commons, organizers will have access to features that will help communicate with participants, as well as plan, organize, and promote events/campaigns/projects on Wikimedia Commons, without having to rely on external platforms.
